A communication structure in which everyone knows there is an official opportunity to share ideas and ask questions demonstrates the value you place on all employees.

It should be formal to ensure consistency and transparency, yet flexible enough to accommodate operational realities. Forcing a non-priority meeting in the middle of a day filled with urgent issues is not doing your team any favors. At the same time, canceling a meeting without rescheduling it because everything else appears more important is not a sign of organizational maturity.

Most importantly, relying on AI to summarize a meeting cannot replace your active presence. It is better to be in the right place for the right reasons than everywhere for no reason at all. The key is finding the right balance by adjusting meeting frequency to employees’ actual needs so they can address concerns and propose solutions.

Secondly, organizations must be aware of their managers’ motivational needs. By measuring the intensity of a fundamental personality trait such as agreeableness, you can gain insight into an individual’s need for harmony versus their need to express their thoughts openly and honestly.

Your organization may already have operational performance metrics. It should also develop relational metrics that make it easier to establish strategies and tactics that are not only executable but transferable because they take people into account.

By implementing a fair and practical communication framework and understanding your managers’ natural communication styles, you will be able to help them conduct meetings in a way that reflects who they are while supporting their areas of discomfort.

You can help them clarify the purpose of the message they need to communicate or the information they need to collect. You can assign the right roles to the right people during meetings and delegate communications more confidently, knowing they will convey the appropriate intentions.

You can also prepare them to engage constructively with differing opinions and employee ideas. All of this becomes possible because you have a communication system in place and an awareness of the people who bring it to life.

Technology should support communication that is both thoughtful and embodied by the manager. A messenger who relies on technology to understand the meaning of the message or the purpose of a meeting is not taking a shortcut, he is taking a detour.

Are you unsure whether your employees truly understand your intentions? Analyze your organizational structure and assess both your own communication skills and those of your managers. That is already a strong starting point and a sign of a genuine commitment to improvement and healthy workplace relationships. It is also far more responsible than blindly placing your trust in Claude or ChatGPT.

Text messages, emails, AI-assisted communications, or even virtual meetings from the comfort of your home will never replace the impact of a face-to-face conversation, conducted in person and within the same real environment.
